The checklist. Approval setup: Name the deliverable, exact version, brief, acceptance criteria, and project consequence; Name the authorized client approver, contributors, internal owner, and fallback; Set the review deadline, reminder plan, and expiry behavior. Review round: Share one current version and retire superseded review links; Collect contributor feedback in one place and resolve contradictions; Classify comments as required change, question, preference, or outside scope. Decision: Offer explicit approve, approve with conditions, request changes, reject, or withdraw actions; Record actor, role, time, version, reason, conditions, and before and after state; Notify the right owners and trigger only the actions authorized by the decision. Reverse and exception paths: Define what happens when the deadline expires or no eligible approver exists; Support resubmission with preserved history after changes; Support revocation and stop affected publishing, delivery, procurement, or billing actions.
