What time blocking is
Instead of a list, you divide the day into blocks and give each one a job: deep work from 9 to 11, email from 11 to 11:30, calls in the afternoon. Tasks that do not fit are a decision you make now, not a surprise at 5 pm.
Start with an ideal week
Sketch a typical week once: fixed commitments, the hours you focus best, regular meetings, exercise, family time. This becomes the template you adjust each week, rather than starting from a blank page every Monday.
Plan each day the evening before
- 1.Put fixed appointments in first.
- 2.Block your most important task into your best focus hours.
- 3.Group small tasks, such as email and admin, into one or two short blocks.
- 4.Leave buffers between blocks; things always take longer than planned.
- 5.Stop when the day is full. What does not fit moves to another day on purpose.
Protect the focus blocks
A focus block only works if it is treated like a meeting. Close email and chat, silence notifications, and let people know when you will be available again. Two protected hours often achieve more than a scattered day.
Compare the plan with what happened
At the end of the day, note what actually happened in each block. Over a week or two you learn how long things really take, and your plans get more accurate. A plan that slips is information, not failure.
Keep it flexible
When something urgent lands, move blocks rather than abandoning the plan. Redrawing the rest of the day takes a minute and keeps you choosing what comes next, rather than reacting to whatever is loudest.
Colour-code your blocks
Give each kind of work its own colour: focus work, meetings, admin, personal. At the end of a week the colours show where your time actually went. If focus work barely appears, that is the first thing to fix.
Set a weekly time budget
Decide roughly how many hours each kind of work should get in a week, such as ten hours of focus work and no more than five of meetings. Then check each week's plan against the budget before the week starts, not after it has gone.
