Choose the date early
Graduation parties cluster in the same few weekends, and guests may have several invitations. Pick your date about two months ahead and tell people early, or consider an afternoon open house so guests can drop in around other plans.
Set a budget and a guest count
The guest count decides almost every cost: food, drink, space and seating. Agree the number and the budget together, then plan everything else to fit.
Plan food by headcount
Simple food that can sit out works best for a party where guests come and go: platters, a buffet or a food truck. Plan quantities from your expected numbers, and ask about allergies and dietary needs on the invitation.
Make it about the graduate
A memory table with photos, certificates and keepsakes from school gives guests something to talk about. Cards for advice and wishes are a simple keepsake the graduate will read again for years.
Give helpers clear jobs
Ask a few people to take a job each: setting up, keeping food topped up, greeting guests, taking photos and clearing up. A short day-of timeline shared with them means you are not directing everything yourself.
Track gifts and thank-yous
Note each gift and who gave it as it arrives, so thank-you notes are easy to write afterwards. Aim to send them within a few weeks.
An eight-week countdown
- ✓Eight weeks out: date, budget, guest list and venue.
- ✓Six weeks: send invitations.
- ✓Four weeks: order food, decorations and anything printed.
- ✓Two weeks: confirm numbers and gather photos for the memory table.
- ✓The week of the party: shop, prepare and brief your helpers.
A joint party
Graduates who share friends sometimes hold one party together. It halves the cost and the clash of dates for guests. Agree the budget split, the guest list and whose family hosts early on.
