Invite Members to a Stelaah Workspace

Invite members when another person needs their own identity and permitted access. Only a workspace owner or admin can send or manage invitations.

Purpose

An invitation connects an email address to a pending workspace membership. The role and department pass through the protected acceptance flow. A request link is not a direct membership grant.

Before you start

  • Confirm that you are the owner or an admin.
  • Know the teammate's current email address.
  • Choose the least-privileged suitable role.
  • Check for an available seat.

Step-by-step guide

  1. Open Team. Choose Invite or Invite people.
  2. Add people. Enter a name or email. Multiple emails can be pasted using spaces, commas, or semicolons.
  3. Choose a role. Select the access role that matches the person's responsibilities.
  4. Choose a department. Associate internal roles with a department when applicable.
  5. Review the summary. Confirm people, role, department, workspace, and seat warnings.
  6. Select Invite. Stelaah distinguishes sent, already pending, failed-delivery, and seat-limit results.
  7. Monitor pending invitations. If an invite exists but email delivery failed, use Pending invites to resend it.

Example

Invite employees as Members in their department. Give a client the Client role so internal tasks, finances, and team activity remain hidden unless shared.

Troubleshooting

Only an owner or admin can invite

Ask an owner or admin to send the invitation.

Seats are full

Open Billing to compare plans or manage seats.

An invitation is already pending

Use the existing pending invitation instead of creating a duplicate.

Email delivery failed

Open Pending invites and retry after checking the address and connection.

Permissions and limits

  • Owners and admins manage invitations.
  • Billing remains owner-only.
  • Guests and clients see only explicitly shared items.
  • Tenant authorization, not the visible role label alone, enforces membership.
