A crowded inbox usually isn't full of things that genuinely need to be email, it's full of status updates, approvals, and quick questions that ended up there by default because email was the easiest channel to reach for. Reducing volume isn't about writing shorter emails, it's about routing most of that content somewhere else entirely.
Email should be reserved for what actually benefits from being a written message. Everything else has a better home.
Most of an inbox is stuff that never needed to be email
Status updates, approval requests, and quick clarifying questions all end up in email mostly because it's the default, not because it's the best channel for them. Recognizing that most volume isn't inherently email-shaped is the first step to actually reducing it.
Move status updates to a live view instead of a message
A status that lives on a shared, live view doesn't need to be re-sent every time it changes, the client checks it when they want to know. This alone removes a large share of routine, recurring email volume.
In Stelaah, project status, approvals, and files live on one connected record a client can check anytime, removing the need to route routine updates through email at all. See how client portal works.
Move approvals to a decision log instead of a reply thread
An approval buried in a reply thread is hard to find later and easy to lose track of. A dedicated approval flow, logged and timestamped, both reduces email volume and produces a cleaner record than a scattered thread would.
Reserve email for what genuinely needs a written message
Formal communications, anything with legal or contractual weight, and messages meant to be a lasting written record are genuinely well-suited to email. Reserve it for those, and route the routine, recurring content elsewhere.
Make the alternative easier to use, not just theoretically better
An alternative to email only reduces volume if it's actually easier to use than firing off a quick message. If checking a portal or a shared view takes more effort than email, people will default back to email regardless of what's theoretically better.
A simple checklist
If you do nothing else, do these five things:
- Move status updates to a live, checkable view.
- Route approvals through a decision log, not a reply thread.
- Reserve email for genuinely formal or lasting written communication.
- Make the alternative easier to use, not just theoretically better.
- Notice what keeps landing in email and ask why it's there.
Do that, and email volume drops because most content actually moved to a better home, not because anyone tried to write less.
